Pick the office moving company that walks your space before it quotes. An office move is priced on what is in the rooms, how the building works and what has to be running Monday morning, and none of that can be judged over the phone. The right company gives you a written scope of work, a schedule, and one person who owns the move.

Start with a walkthrough, not a phone quote
A quote given over the phone is a guess. The mover has not seen how many workstations you have, whether the boardroom table comes apart, where the loading bay is, or how long the elevator takes. Those things decide the crew size and the hours, which is the whole cost.
A walkthrough should produce three things: a timeline, a written scope of work, and a budget you can take to whoever signs it. If a company will not walk the space before quoting, you are comparing numbers that mean nothing.
What belongs in the scope of work
Ask for the scope in writing and check that it names these:
- Who disconnects and reconnects the computers, monitors and phones
- Who takes the workstations apart and who puts them back together
- How files and archives get moved and kept in order
- The labelling plan, so every box and desk lands in the right spot
- Building rules at both ends, including elevator bookings and after hours access
- Loading zone permits where the street parking requires one
- What happens to the furniture you are not taking
- Who you call on move day, by name

What to verify before you sign

If your lease is ending, ask about decommissioning
When a tenant leaves a space, the lease usually requires it handed back empty and in broom-swept condition. Ask whether the mover does that work or whether you will be hiring someone else for it.
